MFA for Kolmeo
How it works
Each time you are prompted to enter your log in details into Kolmeo you will also be asked for a verification code.
How do you get logged out? either when you log yourself out or if Kolmeo auto logs you out.
You can choose to use any Authenticator App, however Kolmeo will only support the official Microsoft Authenticator App. If you do choose an alternative we will be unable to assist with any issues you may encounter.
What will you need?
A mobile device either a mobile phone, or tablet. you can not install and or use an authentication app or program on your computer or laptop that also is used to access Kolmeo.
Details to access the Google Play Store or the Apple App Store so that you can download the required Microsoft Authenticator App (more on this later).
First time set up
Steps if you do not have an Authenticator app.
These steps are for those users that do not currently have a authenticator app and need to install and configure before adding Kolmeo to the App.
Already using an Authenticator App and want to add Kolmeo to it? Follow the steps here
Step 1 Log in
Go to the kolmeo log in page https://portal.kolmeo.com/ and enter your log in details just like normal. This time you will be taken to the the steps to set up MFA for Kolmeo.
Step 2 Install the Authentication App

Go to the Google Play or Apple App Store (wherever you normally download apps from) and search and download th Microsoft Authenticator App. There is more that 1 type, please ensure it looks like the image below.
Once Downloaded Open the App
Click Accept and then Continue
Select Scan a QR Code and on your computer
Click Add account & Allow Authenticator to access camera
Scan the QR code on the Kolmeo Log in Page.
The Authenticator will then create a entry in the App with the verification code Kolmeo Prod linked with the email you use to log into Kolmeo manager with.
Step 3 Enter Verification Code
Once you have scanned the QR code on the App click continue on Kolmeo in your web browser
Enter the 6 digit code from the Authenticator app under the Kolmeo prod
Step 4 Crack on into Kolmeo as normal.
Kolmeo may ask for your login details again along with a second verification.
Add Kolmeo to an existing Authenticator App
If you are already using an Authenticator App, all you need to do is add Kolmeo to it. Outlined here is the steps for the Microsoft Authenticator App as a guide.

Open existing Authenticator App
Click on the + at the top right hand corner
Select work or school account
Scan the QR code on the Kolmeo Log in Page.
The Authenticator will then create a entry in the App with the verification code Kolmeo Prod linked with the email you use to log into Kolmeo manager with.
Step 2 Enter Verification Code
Once you have scanned the QR code on the App click continue on Kolmeo in your web browser

When logging in to Kolmeo
Each time you log into Kolmeo you will be prompted for a verification code. You will need to have the device that your Authenticator App is on.
Steps
Open the Authenticator App
Find the 6 digit code under Kolmeo Pro
Enter in the Kolmeo Manager Web.
MFA for Guardian
You will need to set up a new entry in your authenticator app for Guardian as it is a different program with slightly different rules.
As with Kolmeo you will need to download an Authenticator App, we support the Microsoft Authenticator App with the steps here
You must have your email saved in your staff settings. This can be found by clicking the head icon and adding your email. If you do not have permission to do this please talk to your manager to arrange.
Step 1 Log in
Log into Guardian as per normal, it will then prompt you for a code
The code will have been set to your email address that is saved in your settings as outlined above.
Step 2 Get the code
The code will be sent from noreply@inhabit.com
Enter the code into Guardian & click continue
Step 3 MFA settings
Once you are logged, configure the authenticator settings by clicking the shield
Set the Type as Authenticator
Choose the Mode
Step 4 Add to Authenticator
Open existing Authenticator App you have used for Kolmeo
Click on the + at the top right hand corner
Select work or school account
Scan the QR code in Guardian
Enter the code from the Authenticator app into Guardian.
Click Save

Adding Multiple Guardian Accounts
Adding Multiple Guardian Accounts
If you have more than 1 Office ID you use when accessing Guardian, you will also need a matching MFA code per ID.
Step 1
To add a new line to the MFA app simply click the + at the tops left of the scree to add another account.
Step 2
Select Work or School Account and follow the prompts to scan the QR code and remaining steps as above.
It will create a new line in your MFA app with the Office ID next to your name.
How to edit the name of a item.
You can rename the line items to make it easier to identify.
Click on the line you want to edit the name for.
Click the Cog at the top left of the page
Tap the account name.
This will open a box for you to rename.
